Crew scheduling

Crew scheduling for production teams.

Lavori schedules the people who make the show happen — freelance crew, contractors, and staff — on the same project that holds the tasks, the budget, and the invoice. Build shifts once, fill them without double-booking anyone, and see what the crew costs before the quote goes out.

Build the schedule around the event

Every event has its own shift calendar. Drag a shift to move it, resize it to change the times, or click an empty slot to add one. Switch to the table view to edit many shifts inline, or select several to duplicate a pattern in one go.

A project can hold several events, and an event can span several show days, so rehearsal, load-in, and the show each get their own schedule under the same job.

  • Roles, pay rates, locations, colours, and all-day shifts
  • Shift templates for the line-up you staff every time
  • Deploy several templates into an event at once, sharing one time window
  • Filter by role, status, or assignment to see what is still open

Fill shifts without double-booking

Assign people directly and Lavori checks each of them against their existing shifts as you go, warning you about an overlap before you save. When you deploy templates, the picker can show who is available for that window and warns when someone would approach or pass their maximum hours for the week.

Or publish shifts as open and let crew come to you. Contractors whose role matches are notified and claim the shifts that suit them; a claim that would overlap another shift or push someone past their weekly hours is blocked. Claims wait for an owner or admin to approve them — or confirm instantly when auto-approve is on for the event or for a single role.

A portal for crew, not another paid seat

Contractors work from their own portal rather than the main app: their shifts, the open work they can claim, the hours they log, and the invoices and expenses they submit.

Agreed rates stay agreed. Approving a claim snapshots the rate, and reassigning a confirmed shift clears it, so a new person is never silently held to someone else's terms.

Know what the crew costs

Import shift assignments straight into the project budget. Each line resolves its rate from the confirmed rate, then a per-shift override, then the person's day or hourly rate. Push the lines you choose into the client quote.

When the job is done, admins close out contractor pay runs in Payroll: review logged time, clear the exceptions blocking the run, mark it paid, and keep 1099 records.

Plans

Shift scheduling and templates are part of every plan. Budgets and the contractor portal are plan-gated. The pricing page shows exactly which plan includes what. Contractors never take a paid seat.

Questions

Do crew members need a Lavori seat?
No. Only admins and members — the staff who plan and manage the work — use paid seats. Contractors don't count toward your seats, however many you schedule.
Can one job have rehearsals, load-in, and several show days?
Yes. A project holds as many events as the job needs, and each event can span several days with its own shift calendar.
Can I try it with a real event first?
Yes. Start a free trial without a credit card and build out an upcoming event, or book a demo and we'll set one up with you.
