Crew Portal: your shifts, tasks, and hours

The Crew Portal is where contractors work in Lavori. See your next shift, confirm assignments, pick up open shifts, check off your tasks, clock in, and submit your hours for approval, all scoped to the organization you are working for.

What the Crew Portal is

When you join an organization as a contractor, Lavori opens the Crew Portal instead of the staff workspace. It has its own navigation, grouped into Work (Today, Schedule, Open Shifts, Projects, Tasks, and Hours) and Communication (Threads, Files, and Support). Opening the portal lands you on Today.

The Crew Portal is available on plans that include the contractor portal. If your organization's plan does not include it, the portal shows a message asking you to have an admin upgrade, and nothing else is available until they do.

If you work for more than one organization, switch between them from the account menu. Each organization's shifts, projects, and hours stay separate. Choosing an organization where you are a staff member takes you to that organization's staff Home instead.

Good to knowThe Crew Portal shows only work that involves you. You do not see other crew members' hours or pay, the organization's quotes, invoices, expenses, or payroll, or the AI assistant.

Getting access

An organization admin, or any member of the organization, can invite you as a contractor by email. The invitation asks you to accept and set up your account, then find your shifts in the Crew Portal. A member can invite contractors only; other roles need an admin.

Shifts can be assigned to you while your invitation is still pending. When you accept, those shifts become yours and you are notified so you can confirm them.

If your organization requires two-factor authentication, the portal asks you to set it up before it shows anything else.

Today and your schedule

Today greets you with your next shift: the event, your role, the time, the location, your estimated pay, and its hours. If the shift is waiting on you, Confirm shift accepts it. Once it is confirmed, the same card is where you clock in and out. Below it, Coming up this week lists your next few shifts, each with Confirm and Decline when a reply is needed.

The side of Today totals the scheduled earnings and hours booked for your next four shifts and previews your best-matching open shifts.

Schedule lists every shift assigned to you, split into Upcoming and Past, with a search box for role, event, location, or status. Select a shift to open its details: date, time, call time, location, lead, crew size, pay rate, and the tasks assigned to you on that project. From shift details you can message the project lead directly.

  • Confirm accepts a shift that is waiting on your reply.
  • Decline turns down a shift; the organizer still sees who declined.
  • Clock in becomes available on Today once your next shift is confirmed.

Picking up open shifts

Open Shifts lists published, unassigned shifts for the roles you hold in the organization, from any team, as long as the shift has not ended and its project is still active. Each card shows the role, event, date, time, location, call time, offered rate, and a match score.

The match score runs from 0 to 100. Every listed shift starts with credit for matching one of your roles; the rest reflects whether the shift fits inside your saved weekly availability and how its rate compares with your saved rate for that role. Sort by Best match, Highest pay, or Soonest, filter by role, or search by role, event, venue, or location.

Cards marked Instant claim are confirmed as soon as you claim them. Cards marked Apply send your request to the organizer for approval. Lavori blocks a claim that overlaps a shift you already have or that would put you over your maximum weekly hours.

NoteOpen Shifts ranks the soonest 200 open shifts. If the list says it is showing the soonest 200, narrow your search or filter by role to see shifts further out.

Projects and tasks

Projects lists the projects you have been brought into through a shift or a task assignment. Each card shows the project's status, how you were added, its dates, the project lead, your next shift, and your progress on your assigned tasks. Opening a project shows its description and the tasks assigned to you, grouped the same way they are on the project board. Project pages are read-only.

Tasks gathers every task assigned to you across those projects, grouped by project and filtered by Open, Done, or All. You can mark a task complete and check off its checklist items. Opening a task shows its details and any files attached to it; you can download a file when you have been given access to the folder it lives in. Everything else about a task stays with the project lead.

Hours and timesheets

Hours is your timesheet. After a confirmed shift ends, Lavori adds a draft entry for it with the shift's hours and rate. If you clocked in and out, your clocked hours are used instead of the scheduled hours. Review your drafts, then submit them one at a time or all at once. View the last 30 days, this year, or all time, and filter by Draft, Submitted, Approved, or Paid.

Use Add entry to log time for a confirmed shift you worked that has no entry yet. The rate comes from the shift, so you do not enter it. A note describing the work is required, and you cannot log a future date or a date in a pay period that has already been paid. You can edit the hours, date, and note on a draft; once submitted, an entry is locked.

Submitted time is approved by the owner of the project it was logged against or by an organization admin. The project owner is notified when you submit, or the admins when the project has no owner. If an entry is sent back, it returns to Draft with the reason shown so you can fix it and resubmit. Approved entries are marked Paid when your organization pays them.

  • Hours that differ from the scheduled shift need a note before you can submit them.
  • Manual entries always need a note.
  • You can log time for a shift only once per day.

Profile, availability, and settings

Open Settings from the account menu. Settings covers your profile details, the portal's appearance, your alerts (in-app notifications, email notifications, and message sounds), your password and two-factor authentication, exporting your data, and deleting your account.

From Settings, Roles, rates & certifications opens your crew profile. It shows your reliability, events worked, and hours this year, and a weekly availability grid with Morning, Afternoon, and Evening for each day; tap a block to mark yourself available or unavailable. Blocks where you are already booked are shown as booked. Your availability feeds the match score on Open Shifts.

Your roles and saved rates are set by your organization's admins and are shown read-only. Add your certifications with a name, category, issuer, credential ID, issue and expiry dates, verification link, and note, and attach a PDF, PNG, JPG, or WEBP copy of the document.

Threads, files, search, and support

Threads holds the project, event, and invited threads you have access to. Message a project lead directly from a shift's details. Contractors cannot start direct messages with other contractors. Threads for crew requires a plan that includes both the contractor portal and Threads.

Files lists the Google Drive and Dropbox folders a project admin has shared with you. You see only folders you have been granted.

The search box in the header finds your threads, tasks, shifts, events, and projects. The bell shows your notifications and opens each one in the portal. Support appears in the navigation when your organization has support ticketing turned on.
