Google Calendar: see your own work in Google
Connect your personal Google account and mirror your own shifts, events, projects, tasks, and leads into dedicated Lavori calendars. Sync is one-way, with Lavori as the source of truth.
How the integration works
Google Calendar sync is personal. Each member connects their own Google account from their own Settings, and only work that belongs to that member is copied to it. There is nothing for an organization admin to switch on first, and connecting your calendar does not affect anyone else in your organization.
For each type of work you turn on, Lavori creates a separate calendar in your Google account, such as Lavori · Shifts or Lavori · Tasks. Because each type has its own calendar, you can show, hide, or recolor them independently from Google Calendar's sidebar.
Lavori only works inside the calendars it created. Google limits the permission Lavori requests to those calendars, so Lavori cannot read, edit, or see any of your other calendars or events.
Connecting your Google account
Open Settings and choose Google Calendar under Connected. Select Connect Google to go to Google's consent screen, sign in with the account you want to use, and approve calendar access. Lavori also asks for your email address so it can show which Google account is connected.
When you approve, you return to the Google Calendar section with a confirmation, and the connected Google email appears at the top of the card. If you untick the calendar permission on Google's consent screen, the connection is not saved and you will need to try again with that permission selected.
- Every member connects separately; one person's connection is never shared.
- One Google account is connected per Lavori user, and it covers every organization you belong to.
- The full list of permissions Lavori requests from Google, and why, is published on the public Google integration page at /google.
Choosing what syncs
Once you are connected, the Google Calendar section shows one switch per type of work. If you belong to more than one organization, each organization gets its own group of switches, so you can sync shifts from one organization and tasks from another. Turning a switch on creates its calendar and starts filling it straight away.
Each calendar only holds items that are yours. What counts as yours depends on the type:
- Shifts: confirmed, published shifts you are scheduled on. Each entry shows the project, role, and crew, with the call time in the details when one is set.
- Events: events you own or are a member of, events on projects you own or are assigned to, and events where you have a published shift.
- Projects: the start-to-due-date span of projects you own or are assigned to, shown as an all-day entry.
- Tasks: the due date of tasks assigned to you, shown as an all-day entry with the project name in the details.
- Leads: the expected close date of open leads you own or are assigned to. Leads are offered only when your organization's plan includes lead management, and not to contractors.
How changes reach Google
When something you sync is created, edited, rescheduled, or deleted in Lavori, the change is usually sent to your Google calendar within moments. Items you are added to appear, and items you are removed from, or that are deleted, completed, or archived, are taken off your calendar.
Lavori also runs a full check of every synced calendar every six hours. This catches anything a quick update missed and repairs your calendar so it matches Lavori again. Each switch shows how many items it holds and notes when items are waiting to be repaired.
Because Lavori is the source of truth, edits made directly in Google are overwritten, and events you delete in Google are put back. If you delete one of the Lavori calendars in Google, it is recreated. Each synced entry's description notes that it is managed by Lavori.
What stays off your calendar
Only current, active work is synced. Lavori leaves an item out of Google, or removes it if it was already there, when any of the following applies.
- It falls outside the sync window: more than 30 days in the past or more than a year in the future.
- Its project is completed, archived, or deleted.
- It is a shift that is not yet confirmed and published.
- It is an event with no project, or an event that has been archived.
- It is a task that is complete or has no due date, or a project without both a start and a due date.
- It is a lead that has been won, lost, or deleted, or has no expected close date.
Turning off, disconnecting, and reconnecting
Turning off a switch deletes that one calendar, and every event in it, from your Google account. Turning it back on later creates a fresh calendar and fills it again.
Disconnect removes all of the calendars Lavori created in your Google account, revokes Lavori's access with Google, and deletes the stored connection, so all syncing stops. You can also revoke Lavori from your Google account's permissions page, in which case syncing stops and the Google Calendar section asks you to reconnect.
Your calendars also follow your membership. If you leave an organization or your membership is deactivated, its calendars are removed from Google at the next six-hour check. If a type stops being offered, for example leads after a plan change or a role change to contractor, that switch is marked as no longer available and its calendar is removed at the next check, or right away if you turn it off.
- Reconnect: use the Reconnect button if Google access was revoked; your switches resume after you approve again.
- Problems: if a sync fails, the affected switch shows the error until the next successful check clears it.
