Inventory: reserve equipment for the jobs that need it.
Track how many units of each item your organization owns, reserve them automatically from budgets, quotes, and invoices, manage what each project holds, and release equipment as it comes back.
How inventory works
Inventory is built on the service library. Turn on Track inventory for a library item and enter its Total on hand — the whole number of units your organization owns. From then on, putting that item on a budget, quote, or invoice reserves units for the dates of the work, and each project shows what it is holding.
Reservations never change prices, quantities, or totals on your billing documents. They only decide how many units are spoken for, and when.
- Inventory belongs to the organization, so every team draws from the same stock.
- Only whole units are tracked.
- Contractors don't have access to inventory.
Setting up tracked items
Open a library item, switch on Track inventory, and set Total on hand. You can turn tracking on for an item that's already in use; Lavori then reserves it for the existing documents and projects that include it.
You can't lower Total on hand below the most units reserved at any one time — Lavori tells you the current peak instead. Turning tracking off releases every reservation for that item.
Availability and dates
Reservations follow the linked project's dates: its event start and end times when it has them, otherwise its start date and due date. Two jobs on different dates can use the same units; overlapping jobs share the stock. A document with no linked project holds its units with no end date, until it's released.
When you add items from the library to a budget, an invoice, or a project's inventory, the picker shows how many units are available and won't let you add more than that. If a save would reserve more units than you have for those dates, Lavori stops it and names the item that's short.
Once a job's dates pass, its units stay reserved until they're released — equipment that's still out isn't counted as back on the shelf just because the date ended.
Reserving from budgets, quotes, and invoices
Tracked items reserve automatically as you build documents, and Lavori keeps reservations in step as the documents change. A banner at the top of each document shows how many units it reserves.
- Budgets hold their tracked items, including after the budget is finalized.
- Lines pushed from a budget into a quote reuse the budget's reservation instead of reserving the same units twice. If every quote made from those lines is rejected or expires, the budget's hold ends too.
- Quotes release their own reservations when they're rejected, deleted, or expire without being accepted. An accepted quote keeps its hold.
- Invoice lines converted from a quote reuse the quote's reservation. Other tracked invoice lines reserve on their own, and voiding or deleting the invoice releases them.
The project Inventory tab
Once a project holds inventory, it gets an Inventory tab listing every assigned item: where each reservation comes from (budget, quote, invoice, or the project itself), how many units are assigned out of the total, how many are still available, and whether the item is reserved or released.
Use Add item to reserve library items directly on the project, and edit the project quantity in the table. Anyone who can see the project can view the tab; adding, changing, releasing, and reserving items require edit access to the project.
Releasing equipment
When equipment comes back early or is no longer needed, release it without unlocking or editing the budget. From a project's Inventory tab, choose Release on an item — or select several and choose Return inventory — to open Manage inventory. From a budget, choose Manage inventory in its inventory banner; for a budget linked to a project, the dialog shows every allocation across that project, each labeled with its source document, and needs edit access to the project.
Enter how many units to release on each allocation, choose a reason — Returned or No longer needed — review the remaining reserved quantities, and choose Confirm release. You can release part of an allocation: releasing 3 of 10 units keeps the other 7 reserved. Choose Reserve again later to put released units back, as long as enough stock is free.
- Releases never change financial quantities, prices, or totals.
- Saving, finalizing, or changing the project's dates keeps the units you released.
- If a source line's quantity drops, the released amount is capped to fit; an increase reserves only the new units.
- Each batch applies all at once or not at all. If someone else changed the same allocations first, Lavori asks you to refresh and try again.
Releasing a whole quote or invoice
Quotes and invoices release all of their reserved inventory at once. Choose Release in the document's inventory banner; the banner then reads Inventory released, and saving the document won't reserve those items again. Choose Reserve again to restore the hold, which succeeds only if enough units are still free.
