Client payments: let clients pay invoices online.

Connect your organization's own Stripe account so clients can pay an invoice by card or US bank transfer straight from its portal link, and let Lavori record each payment, refund, and dispute on the invoice for you.

How online payments work

Online payments use the invoice portal link you already send. Once your Stripe account is connected and ready, the invoice page shows a payment form beneath the invoice, and invoice emails say the client can view and pay online. When online payment isn't available for an invoice, the email simply invites the client to view it.

Your organization is the merchant of record. Payments are charged on your connected Stripe account, land in that account, and are subject to your Stripe account's processing fees. Lavori does not take a platform fee on client payments.

Not your Lavori subscriptionClient payments are money your clients pay you. They are separate from how your organization pays for Lavori, which is managed in the Plan section of Organization settings.

Connecting your Stripe account

An organization administrator connects Stripe from Organization settings → Integrations → Stripe — client payments. Choose Connect, sign in to Stripe, choose or create the account you want to use, and approve the connection. Lavori returns you to Organization settings and confirms the result.

Right after connecting, the status may read Pending while Stripe reviews your account details. Payments turn on automatically once Stripe enables charges; if Stripe needs more information, it asks in your Stripe dashboard. When everything is ready, the status reads Connected and links to your Stripe dashboard for refunds and disputes.

  • Only organization administrators can view or change the Stripe connection.
  • If the row shows Unavailable, online payments have not been set up for this Lavori instance yet. Contact your Lavori administrator.
  • The row always explains the next step when the connection isn't ready.
PlanConnecting Stripe and accepting online payments require a plan that includes Integrated payments. If your plan changes, administrators can still see and disconnect an existing Stripe account, but clients can no longer pay online.

What your client sees

On the invoice page, the client enters an email address for their receipt and chooses Continue to payment. Stripe's secure payment form then offers card payment, and US bank transfer where your Stripe account supports it. The client always pays the full open balance; there is no option to choose a partial amount.

Card payments confirm immediately and the page thanks the client and says a receipt is on its way. Bank transfers show as submitted and take a few business days to clear; the invoice page tells the client a payment is processing so they don't pay twice. If the client's bank needs extra verification, they're given a link to verify their account with Stripe.

  • Payments are in US dollars.
  • Draft, paid, and void invoices can't be paid online.
  • Balances under $0.50 or over $999,999.99 can't be paid online.
  • Quotes are viewed and signed from their portal link, not paid. Convert an accepted quote to an invoice to collect payment.

How payments are recorded

You don't record online payments yourself. When Stripe confirms a card payment, Lavori adds it to the invoice and marks the invoice paid, usually within seconds. A bank transfer appears as processing and only reduces the balance once the funds clear.

The person who created the invoice is notified when an online payment lands — in Lavori and, depending on their notification settings, by email — and the invoice's activity log records each online payment and each declined attempt. Payments you record by hand for cash, checks, or wires still work the same way.

Good to knowWhile a client's payment is still processing, you can't change the invoice amount or void it. Wait for the payment to clear, so money never lands on an invoice you've cancelled.

Refunds and disputes

Refunds and disputes are handled in your own Stripe dashboard; Lavori doesn't issue refunds or submit dispute evidence. It follows what happens there and keeps the invoice accurate.

A refund reopens the balance that payment covered. A chargeback reopens it as soon as the bank pulls the funds, not weeks later when the case closes, and winning the dispute restores the payment. The invoice creator is notified at each step, and the invoice's activity log shows the history.

  • If a client overpays, Lavori flags the overpayment so you can refund the difference from Stripe.
  • If a payment arrives on an invoice that was voided, the invoice stays void and you're told to refund the client.

Disconnecting Stripe

An administrator can disconnect Stripe from the same row in Organization settings. Clients immediately lose the option to pay online. Payments already made stay recorded on their invoices, and your Stripe account keeps working on its own. Revoking Lavori's access from your Stripe dashboard has the same effect.

Disconnecting isn't possible while a client's payment is still in progress; wait for it to finish, then try again.

Before you disconnectStripe may refuse to reconnect an account that was previously disconnected. If that happens, Lavori asks you to connect again and choose or create a different Stripe account. Disconnect only if you're sure you won't need that account for client payments again.
