Dropbox: link folders to projects
Connect an organization Dropbox account, link folders to projects, and work with Dropbox files alongside Google Drive and files stored in Lavori.
How Dropbox fits into project files
Dropbox connects once at the organization level. After an administrator connects the account, projects can link one or more folders from that Dropbox without copying their contents into Lavori.
A project's Files area keeps every source distinct. Files stored in Lavori are labeled Lavori, linked Google Drive files are labeled Google Drive, and linked Dropbox files are labeled Dropbox. The source remains visible even when two providers contain files with the same name.
Connecting Dropbox
An organization administrator connects Dropbox from Organization settings under Integrations. Choose Connect Dropbox, sign in to the intended Dropbox account, and approve the requested file and account permissions. Lavori returns to Organization settings and displays the connected account label.
If Connect is unavailable, the platform's Dropbox app credentials have not been configured. A platform administrator must configure the Dropbox app before an organization can connect.
- Confirm the Dropbox account shown on the consent screen before approving.
- The connection belongs to the organization, not to an individual project.
- Google Drive can remain connected while Dropbox is connected.
Linking a Dropbox folder
Open a project and go to Files, then choose the option to link an external folder. Select the Dropbox connection, browse its folders, and link the folder you want available to that project.
Lavori stores the Dropbox folder's stable identity as well as its current name and path. If the folder is renamed or moved within the connected Dropbox account, synchronization can update the project link without confusing it with a similarly named folder.
- A project can link multiple Dropbox folders.
- The same project can also link Google Drive folders.
- Folders and same-named files remain distinct by provider and connection.
Browsing, downloading, and uploading
Selecting a linked Dropbox folder lists its current contents from Dropbox. Downloads stream the current provider file through Lavori, and uploads place the file into the selected Dropbox folder rather than Lavori's local storage.
Provider access is always checked through the project link. A stored Dropbox item ID by itself does not grant access, and a file moved outside the linked folder cannot be downloaded through the old project link.
Contractor access
Project administrators can open Manage Access on a linked Dropbox folder and grant access to active contractors in the organization. Contractors see only the linked folders they have been granted and can list or download only content contained by those links.
Access can be reviewed and revoked even while Dropbox or the folder is unavailable, but new access cannot be granted until the link is active again. Explicitly unlinking a folder removes all contractor grants; linking that folder again does not restore them automatically.
- Dropbox and Google Drive folder grants are managed independently.
- Disconnecting and reconnecting the same account retains grants when a folder is safely restored.
- Explicit unlink and relink starts with no contractor grants.
Changes and unavailable folders
Dropbox notifies Lavori when content changes. An open linked-folder view refreshes after the change is processed. Reopening a folder also reads current provider data, so it remains a useful fallback if a notification is delayed.
If a linked folder is deleted, moved outside the available account, or cannot be validated, Lavori keeps the project reference but marks it unavailable instead of silently showing a different folder. The Files area identifies Dropbox as the affected source and offers the appropriate reconnect or relink action.
Disconnecting and reconnecting
Disconnecting Dropbox removes Lavori's authorization and makes its linked folders unavailable. It does not delete, move, or modify files in Dropbox. Google Drive links and files stored in Lavori continue to work normally.
When the same Dropbox account reconnects, Lavori validates each former folder by its stable Dropbox identity and restores folders that still belong to that account. Missing folders remain unavailable. If a different account connects, previous links are not reassigned to it.
If an administrator later reconnects an older account after another account was used, Lavori may present a restoration review. The review shows how many historical folders can still be validated. The administrator must explicitly confirm or decline before those links are restored.
Troubleshooting
- Not configured: ask a platform administrator to configure the Dropbox app.
- Authorization revoked or missing permissions: reconnect Dropbox and approve every requested permission.
- Folder unavailable: confirm it still exists in the connected account, then reconnect or link the current folder.
- Change not visible yet: reopen the folder or refresh the Files view while notification processing catches up.
- Wrong account connected: disconnect it and reconnect the intended account; old links are never silently transferred between accounts.
