Clock in and out of shifts
Clock in when you arrive for a shift and clock out when you leave. Lavori checks that you are at the venue, closes forgotten sessions at the end of the shift, and carries your clocked hours to your timesheet.
How clock in works
Anyone assigned to a confirmed shift can clock in to it: contractors and staff members alike. Each person gets one clock session per shift. It opens when you clock in and closes when you clock out, or automatically when the shift ends.
Contractors clock in from the Crew Portal on the web, on the Today page's Next shift card, or from Today in the Lavori mobile app. Staff clock in from Today in the mobile app, where a Your shift card appears for your next confirmed shift of the day.
For contractors, clock in is part of the Crew Portal and is available on plans that include the contractor portal.
When you can clock in
Clock in opens 15 minutes before the shift starts and stays open until the shift ends. Before then, the button shows the time it opens. Once the shift has ended, you can no longer clock in to it.
While you are clocked in, the card shows a running timer, the time you clocked in, and when you will be clocked out automatically.
- Only confirmed shifts can be clocked in to. Confirm a pending shift first.
- You can be clocked in to one shift at a time. Clock out of your other shift before clocking in to the next one.
- Each shift has one session per person. After you clock out, you cannot clock in to that shift again.
The location check
When you clock in, your browser or phone shares its position once so Lavori can check that you are at the shift's venue. The venue is the shift's location, or the event's location if the shift has none. If you are more than 500 meters away, you are told how far you are from the venue.
If your position is not available, because you declined the permission or no location fix arrived, Lavori tells you it could not get your location. In either case you can still choose Clock in anyway. The session is then flagged as off-site or without location for your lead to review.
If Lavori cannot find the venue's address on a map, it does not ask you anything. The clock-in is recorded without a location result.
Clocking out
Select Clock out when you finish. If the shift has not ended yet, Lavori asks you to confirm before clocking you out early.
If you forget, Lavori clocks you out automatically. A few minutes after the shift's scheduled end, any session still open is closed, and the clock-out time is recorded as the shift's end time. Sessions closed this way are labeled as clocked out automatically at shift end.
Where your hours go
For contractors, every confirmed shift becomes a draft entry in Hours once the shift ends. When you clocked in and out, your clocked hours replace the scheduled hours on that draft, rounded to the hundredth of an hour, and a note records your clock times, for example: Clocked 8:02 AM – 5:58 PM (off-site, 2.4 km). If you already wrote a note on the draft, Lavori keeps your note and updates only the hours.
That clock note also counts as the explanation Lavori asks for when submitted hours differ from the scheduled shift, so a clocked entry can be submitted without adding another note. You can still adjust the hours on a draft before submitting it.
- All-day shifts and day-rate entries keep their entry as is: a day rate already pays the whole day.
- Once an entry is submitted, it is locked and clocking no longer changes it.
- Submitted hours go through the usual approval and payment steps in Hours.
Who can see clock activity
You always see your own clock sessions. Organization admins see everyone's clock-in and clock-out times and the location result. Other staff see only whether a coworker is clocked in right now, and only on projects they own or are assigned to. They do not see clock times or location results. Contractors see only their own clock activity.
In the mobile app, staff Today includes an On site today card listing the team's shifts for the day with a clock status for each: who is in, who has clocked out, and confirmed shifts that have started with nobody clocked in. A pin marks sessions clocked in away from the venue or without a location.
Troubleshooting
- Clock in is greyed out: it opens 15 minutes before the shift starts. The button shows the opening time.
- No Clock in button: the shift is not confirmed yet, it has already ended, or it is not your next shift. Confirm the shift first.
- Already clocked in to another shift: clock out of that shift before clocking in to this one.
- Off-site warning when you are at the venue: the shift's address may be incomplete. Clock in anyway and let your lead know.
- Hours look wrong after clocking: edit the draft in Hours before you submit it.
