For production managers

Crew, gear, and hours, under control.

Production managers inherit the job once it's sold, then answer for who's working, what's going out, and what it all cost. Lavori keeps those answers on one project: the shifts, the equipment reserved for those dates, the hours crew actually worked, and the budget they roll up to.

Build the crew plan

Put shifts on each event's calendar with a role, a time window, a location, and a rate. Save the calls you repeat as templates and deploy them in bulk, and give multi-day events their own range view.

Fill it without the phone tree

Shifts stay drafts until you publish them. Assign people directly, or publish open shifts so contractors with a matching role are notified and can claim them. A claim that would create a time conflict or go over weekly hours is blocked, and you approve or deny the rest.

How crew scheduling works →

Know what gear is spoken for

Turn on tracking for a library item and enter how many you own. Putting it on a budget, quote, invoice, or project reserves units for that job's dates, so two jobs on different dates can use the same units, and the picker shows how many are available.

Print a pull list sorted by storage location, with a box to tick for each item. Units stay reserved until they're released, so equipment that's still out isn't counted as back on the shelf just because the date passed.

Turn show-day hours into approved time

Crew clock in and out of confirmed shifts, and Lavori checks they're at the venue and closes forgotten sessions when the shift ends. A contractor's clocked hours replace the scheduled hours on their draft entry, with the clock times noted.

Organization admins then review submitted hours in Payroll, where entries that differ from the schedule are flagged before the run is paid.

Keep the costs in view

Import scheduled shifts into the budget, with confirmed rates taking priority. Log expenses against the project, attach a receipt or let AI read it, and approve or deny each one before it counts toward the budget. Approved time can be imported too, when you need to pass those costs through to the client.

Ask the assistant

The built-in AI assistant reads across the workspace, so you can ask about the schedule or crew utilization. From one message it can also create and assign shifts, then publish them. Draft cards wait for your approval before saving; an explicit request can apply right away.

Plans

Projects, events, crew scheduling, quotes, and invoices are the core of every plan, and inventory and expenses come with quotes and invoices. Budgets and the contractor portal, including contractor clock-in, are plan-gated. The pricing page shows exactly which plan includes what. Contractors never take a paid seat.

Questions

Do crew need a paid seat?
No. Contractors are always free; you pay for staff seats only, starting at one.
What do crew see?
Contractors get the Crew Portal, on the web and in the mobile app. It shows their shifts, open shifts, tasks, and hours, and only work that involves them. Other crew members' hours and pay stay hidden, and so do the organization's quotes, invoices, and expenses.
What does it cost?
Pricing is per staff seat, starting at one, and contractors never take a paid seat. Every plan starts with a free trial that needs no credit card.

In the documentation

Crew scheduling

Plan, publish, and staff shifts for your events. Build a shift calendar, reuse shift templates, deploy shifts in bulk, and let crew claim open work through a claim, approve, and deny workflow with built-in conflict and hours checks.

Crew Portal

The Crew Portal is where contractors work in Lavori. See your next shift, confirm assignments, pick up open shifts, check off your tasks, clock in, and submit your hours for approval, all scoped to the organization you are working for.

Clock in

Clock in when you arrive for a shift and clock out when you leave. Lavori checks that you are at the venue, closes forgotten sessions at the end of the shift, and carries your clocked hours to your timesheet.

Inventory

Track how many units of each item your organization owns, reserve them automatically from budgets, quotes, and invoices, manage what each project holds, and release equipment as it comes back.

Expenses

Log what your team spends, attach receipts or let AI read them for you, tie each cost to a project, and approve or deny submissions before they count toward a budget.

Billing

Lavori's billing pipeline turns planned work into client proposals, sends branded PDFs, and tracks payments through to paid. Budgets handle internal cost planning, and the service library keeps your pricing reusable.

Accounting

Accounting is the home for everything money in Lavori. It pulls together your quotes, invoices, budgets, and billable items, shows activity over time, and gives admins a payroll workspace for closing out and paying contractor pay runs.

AI assistant

A built-in assistant that answers questions about your organization's data and takes action across projects, tasks, events, shifts, contacts, and billing — all scoped to what you can already see.
